Terms of service

Who you are contracting with
YourFormat is run from the United Kingdom by a sole trader — the name and address are at the bottom of this page. You can reach a human at support@yourformat.com.
This service is sold to businesses. If you are signing up on behalf of a company, you confirm you are allowed to agree to these terms for it.
What the service does
You upload documents you have received — spreadsheets, CSVs, PDFs, Word files or photos of paper — and YourFormat returns each one converted into a template you have defined. Values the system is not confident about are flagged for you to check; they are never silently guessed.
What it costs
A document is the unit. A ten-page PDF is one document, not ten pages. A scan or photo counts as 1.5 documents, because reading an image costs us more.
Monthly plans, each including a number of documents:
- Solo — £39 per month, 50 documents included.
- Starter — £99 per month, 150 documents included.
- Business — £199 per month, 350 documents included.
- Scale — £399 per month, 800 documents included.
New accounts get 5 documents free, with no card. Included documents reset at the start of each billing month and do not carry over.
If you need more before the month resets, you can buy credits: 25 for £22, 100 for £85, 300 for £249, 1000 for £799. Credits you buy never expire and stay yours even if you cancel your plan. Your monthly allowance is used first, then your credits.
Prices are in pounds sterling and there is no VAT to add — we are not VAT registered. If you pay in another currency, your bank or Stripe sets the exchange rate, not us.
Renewal and cancellation
A plan renews automatically each month until you cancel. You can cancel at any time from your dashboard — it opens Stripe’s billing page, where you can also update your card or download invoices.
Cancelling stops the next payment. Your plan keeps working until the end of the month you have already paid for, and the documents included in that month are gone once it ends. Credits you bought separately remain available.
Changing plan
Moving up takes effect immediatelyand starts a fresh month: you are charged the new plan’s full price that day, and your new allowance is the full one. We take off what the documents you had not yet used were worth on your old plan — so if you upgrade on day two having used nothing, almost the whole of that month’s fee comes back off the new bill.
We do this in documents rather than in days on purpose. The usual way to price a mid-month change is to refund the days you had left, but days are not what you bought here. Someone who upgrades late in the month with a full allowance untouched would get a few pounds back under that rule and lose a month of documents.
Moving down takes effect at the end of the month you have paid for. You keep the plan and the documents you have already bought until then, and nothing is charged on the day you ask. The lower price starts with the next month.
Refunds
If the service does not do what this page says it does, write to us and we will refund you. We would rather give money back than argue about it.
Beyond that: unused documents from a monthly plan are not refunded — that is the trade for not having to count them.
Credit packs are refundable within 30 days of purchase, whether or not you have used some of them. If you have used some, we keep the price of the smallest pack that would have covered what you actually used, and refund the rest. Spend 100 credits out of a 1000 pack and we keep £85 — the price of the 100 pack — and return £714 of the £799.
The reason for that rule rather than simply refunding the unused credits: the packs get cheaper per document the more you buy, so refunding at the big-pack rate would sell you a hundred documents at the thousand-document price. This way you pay what you would have paid had you bought for the usage you had. It can never come to more than you paid us.
A conversion that fails because of a fault on our side is not charged. If one was charged anyway, tell us and we will put the credit back.
Fair use
A document here means an ordinary business document — a request, a quote, an order, typically tens of line items. Documents far outside that range cost us many times more to process.
We do not meter you by page or by line, and we do not intend to start. But if your usage is consistently far outside normal, we will contact you and agree a price that works rather than quietly degrade your service or cut you off.
What you may not do
Do not upload documents you have no right to process, and do not use the service to break the law. Do not attempt to disrupt the service or get around its limits.
Your documents remain yours. We claim no ownership of anything you upload or of the converted output.
Accuracy, and where responsibility sits
YourFormat flags every value it is unsure of rather than guessing quietly. It can still be wrong, including in ways it did not flag. Check a converted document before you send it to a customer. The output is yours, and so is responsibility for what you do with it.
We are not liable for business losses that follow from an error in a converted document — a mispriced quote, a missed order, a lost customer. Where we are liable, our total liability is limited to what you paid us in the twelve months before the problem. Nothing here limits liability that cannot legally be limited.
Your data
What we store, for how long, and every company involved is set out on the privacy page. In short: documents are deleted 30 days after conversion, we never train models on them, and document contents never reach our logs.
Changes, and the law that applies
If we change these terms in a way that affects you, we will e-mail you before it takes effect. A price change never applies to a month you have already paid for.
We can suspend an account that is not paid or that breaks these terms, after telling you why and giving you a chance to fix it.
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
Who we are
To fill in before payments are switched on: trading name and contact address. A trader must give both on the site, and Stripe checks for them during activation.
YourFormat is currently run as a sole trader and is not VAT registered, so no VAT is added to the prices above. If that changes we will say so here before it affects anything you pay.
